Overtime Policy
An Overtime Policy defines how overtime is treated across different types of days:
- Working Days
- Weekly Offs
- Holidays
It determines:
- Whether overtime is Paid or Comp Off
- Which Overtime Term applies
- How approvals are handled
- Whether benefits can be combined
- Whether past-dated requests are allowed
Basic Information
| Field | Description |
|---|---|
| Name | Name of the overtime policy. |
| Status | Active or Inactive. Only active policies apply to employees. |
| Overtime Configuration | Determines which day types are configured in the policy. |
| Description | Additional notes about the policy. |
| Attach OT Policy Document | Upload a supporting document (optional). |
Policies must be assigned to employees to take effect.
Day Type Configuration
For each applicable day type, you must configure how overtime is rewarded.
| Day Type | Available Options |
|---|---|
| Working Day | Paid / Comp Off |
| Weekly Off | Paid / Comp Off |
| Holiday | Paid / Comp Off |
The Paid option is currently under development and not yet supported.
Each day type can have a different configuration.
Selecting Overtime Terms
Once a reward type is selected for a day type:
When Comp Off is selected:
- You must select a corresponding Comp Off Overtime Term.
When Paid is selected:
- You must select a corresponding Paid Overtime Term (future support).
Overtime Terms define the calculation rules (minimum hours, comp off credits, etc.), while the Overtime Policy decides when those terms apply.
Combined Benefits
If an employee works on a date that qualifies as:
- Both Holiday and Weekly Off
The system can apply combined benefits.
This means the employee may receive rewards configured for both applicable day types.
Combined benefits are applied automatically based on the configured policy.
Approval Configuration
Overtime approval works similarly to Leave approvals.
You can configure:
| Field | Description |
|---|---|
| Approval Required | Whether overtime requests require approval. |
| Approval Strategy | Level-based or Count-based approval. |
| Final Approval Level | Required if strategy is Level-based. |
| Approvals Required Count | Required if strategy is Count-based. |
For detailed workflow explanation, refer to:
If Approval Required is disabled, overtime rewards will be processed immediately after submission.
How Overtime Policy Works
- Employee applies for overtime.
- The system determines:
- Day type (Working Day / Weekly Off / Holiday)
- Assigned Overtime Policy
- The appropriate Overtime Term is applied.
- After final approval:
- Comp Off is credited (if configured)
- Paid logic will apply once supported
Past-Dated Overtime Requests
You can configure whether employees are allowed to create overtime requests for past dates.
Available Options
- Yes — Employees can submit overtime requests for past dates.
- No — Employees cannot submit overtime requests for past dates.
This setting controls whether an employee can apply for overtime for a date prior to today.
Important Notes
- Each policy can define different rules for each day type.
- Comp Off credit occurs only after final approval.
- Paid overtime support is coming soon.
- Policies must be assigned to employees to become effective.
